Free restaurant services agreement template

Both need a free account, which includes five documents a month with no card. “Use this template” opens it in GSD with the signature fields already placed; the download gives you the blank document to use however you like.

When you would use it

Restaurants use this for catering jobs, private dining and event bookings. Those are the jobs where a verbal headcount and a "we will sort out the deposit later" turns into an empty room on a Saturday night. The signed agreement fixes the date, the number of covers, the menu and the deposit.

What the document says

The restaurant (provider) will provide the event services described below for the customer on the stated date. The menu package and guest count set the total price; final guest count is confirmed no later than 72 hours before the event.

What you fill in

Who signs

Terms included

The provider prepares and serves the selected menu with appropriate staffing. Dietary restrictions disclosed in advance are accommodated where practical. A deposit may be required to hold the date; cancellations follow the provider’s posted policy. The customer signs first; the provider countersigns to confirm the booking.

Common questions

Can I collect the deposit at the same time?

The agreement records the deposit amount and terms. On paid plans you can also attach a payment request to the same document, so the customer signs and pays in one pass.

What should the cancellation terms say?

Whatever you will actually enforce. Most kitchens tie the refundable portion to a cutoff date; after that the deposit covers the food already ordered. Edit the terms to match yours before sending.

Sending it for signature

Open the template in GSD, fill in your details, and enter the other party's email. They get a link and sign in their browser on any device (your signer needs no account and nothing to install), and both of you get the completed PDF with an audit trail recording every view and signature, plus a SHA-256 hash so any later change is detectable. Electronic signatures collected this way are intended to be legally binding under the U.S. ESIGN Act and UETA. See security & legal validity for the detail, and pricing for what it costs (the first five documents each month are free).

This template is a starting point, not legal advice. Read the terms and edit them to match how you work, and check that electronic signing suits your document type and jurisdiction before you rely on it.
